Unmanaged vendor relationships are one of the most significant sources of cost overruns, quality failures, and liability exposure for property owners and condo corporations. Contractors who aren't properly vetted, insured, and supervised can leave your property exposed in ways that go far beyond the immediate job. D&D Property Management's vendor management program brings discipline and accountability to every contractor relationship on your property.

We manage vendor relationships for property investors, condo corporations, and building owners across Kitchener, Waterloo, Cambridge, Guelph, and the broader Waterloo Region. For most maintenance and renovation needs, we deploy our own subsidiary companies first—giving you in-house accountability rather than third-party risk. For specialized trades outside our network, we work with a curated panel of vetted vendors held to the same standards.

Vendor Vetting and Onboarding

Before any contractor works on a D&D-managed property, they must meet our vendor qualification requirements. This process covers:

Insurance Verification: All vendors must carry current Commercial General Liability insurance at a minimum of $2 million per occurrence, and provide certificates of insurance naming D&D Property Management and the property owner as additional insureds. For trades with employee exposure, WSIB clearance certificates are required. We maintain copies of all insurance documentation and track renewal dates to ensure there are never gaps in coverage on your property.

Licensing & Certification: Trades requiring provincial licensing (electricians, plumbers, HVAC technicians, elevator mechanics) are verified against current Ontario licensing records before being added to our vendor panel. We do not permit unlicensed trades to perform regulated work on any property in our portfolio.

Reference and Track Record Review: New vendors are vetted through reference checks with other property managers and building owners in Waterloo Region. We assess their responsiveness, quality consistency, pricing transparency, and professional conduct before approving them for our vendor panel.

Bid Management and Cost Control

For capital projects, major repairs, and service contracts above threshold values, D&D Property Management manages a competitive bid process. We prepare scopes of work, distribute them to qualified vendors on our panel, collect and evaluate proposals, and present recommendations to the property owner or board with clear analysis of the options.

Our network buying power allows us to negotiate preferred rates with service providers who work regularly across our managed portfolio. These savings are passed directly to our clients—we do not collect commissions or referral fees from vendors. Your bottom line benefits from the volume our portfolio represents.

Performance Monitoring and Quality Assurance

Vendor approval is not a one-time event. We monitor vendor performance continuously across the portfolio, tracking response times, quality outcomes, client feedback, and insurance currency. Vendors who fail to maintain our standards are removed from the panel and replaced. This continuous quality loop is what ensures consistent service delivery across your property regardless of which trade is on site.

Frequently Asked Questions

Can we continue using our existing preferred vendors when we engage D&D?

Yes, with conditions. Existing vendors you wish to retain must meet our insurance and licensing requirements to be added to your property's approved vendor list. In most cases, existing vendors who are properly insured and licensed are grandfathered in after documentation review. We also evaluate whether their pricing is competitive with our panel—and will advise if we believe you can achieve better value.

What happens if a vendor causes damage to our property?

Because we require all vendors to carry proper liability insurance and name our clients as additional insureds, damage claims are pursued through the vendor's insurance policy. Our documentation trail—work orders, pre-work inspections, and completion records—supports your claim. We manage the claims process on your behalf and pursue full recovery for documented damages.

Do you require three bids for every repair?

Not every repair warrants a competitive bid process. For routine maintenance and repairs below your pre-approved spending threshold, we deploy the most appropriate vendor immediately to minimize turnaround time. Competitive bids are required for capital projects, major replacements, and new service contracts above threshold values. We calibrate this appropriately to your property's needs.

How do you handle vendors who do poor-quality work?

Documented quality failures result in the vendor being placed on a performance improvement plan or removed from the panel, depending on severity. We return to the vendor to correct deficient work under their original quote or warranty terms. If they fail to remediate, we pursue correction costs through their liability insurance and engage a replacement contractor to complete the work to our standards.

Do condo corporations need to approve vendor selection decisions?

For routine maintenance vendors, approval authority is typically delegated to D&D Property Management within the terms of the management agreement. For service contracts of significant value and capital project vendors, we present our recommendation to the board for approval before executing any agreement. We provide full transparency into our recommendation rationale at every stage.
