Our Emergency Response Process
When an emergency call comes in, our process follows a consistent, documented framework that ensures nothing is missed and every decision is traceable.
The call is answered by a D&D Property Management team member who has access to your property's file, including your building systems, your current vendor relationships, your insurance information, and your board contact preferences. We do not use a generic answering service that reads from a script—our emergency response is handled by people who understand property management and know your building.
Within the first 15 minutes of a confirmed emergency, we assess the situation, identify the appropriate first responder trade, and initiate dispatch. For situations involving immediate risk to life or property, we coordinate with municipal emergency services in parallel. We then notify the appropriate board members or property owners according to your established escalation protocol—keeping you informed without requiring you to manage the situation directly.
Throughout the event, we maintain a live incident log that captures all actions taken, all parties contacted, all costs incurred, and all decisions made. This documentation is critical for insurance claims, condominium corporation records, and any subsequent LTB or municipal process. At the conclusion of the emergency, we provide you with a full incident report.

Is 24/7 emergency response included in standard property management agreements?
Yes. Emergency response coverage is included in our full-service property management agreements as a standard component. We do not charge an additional monthly retainer for after-hours availability. Emergency dispatch costs—contractor call-out fees, materials, emergency labour premiums—are billed at actual cost with full documentation and no markup.
How quickly will a contractor be on-site after an emergency call?
Response times depend on the nature and severity of the emergency, the time of night, and current trade availability across Waterloo Region. For life-safety emergencies, we target contractor arrival within 60-90 minutes. For urgent but non-life-safety situations such as a heating failure or significant water leak, we aim for on-site response within 2-4 hours. We will always give you an honest estimated arrival time rather than a commitment we can't keep.
Who authorizes emergency repairs on behalf of the condo board?
Your management agreement specifies your emergency spending authorization threshold—typically up to a defined dollar amount per incident without prior board approval. Situations exceeding this threshold require board sign-off, which we obtain by contacting your designated emergency board contact. For true life-safety emergencies where delay is not an option, we proceed with necessary work and provide full documentation for post-approval review at the next board meeting.
How do you handle insurance coordination during and after an emergency?
We maintain your insurance policy information on file and can initiate first-notice-of-loss contact with your insurer on your behalf during or immediately following an emergency. We compile the incident documentation, contractor reports, and photographic evidence needed for your claim.
